Central Chapter

DUTIES OF THE SECRETARY

1. Record minutes at annual H.I.S. Central Chapter meetings and make them available to the H.I.S. newsletter editor for publication.

2. Maintain and update the H.I.S. Central Chapter membership list and correspond with the H.I.S. newsletter editor and treasurer to maintain an updated mailing list. The secretary may coordinate annual membership renewal mailings, and if necessary, membership drives.

3. Prepare and distribute H.I.S. membership packets for new members as needed. Suggestions for items to include in new membership packets are:

a. H.I.S. Central Chapter Constitution and Bylaws

b. H.I.S. Central Chapter Membership Application

c. The H.I.S. Central Chapter Purpose, Benefits and History pamphlet

d. A copy of the last published newsletter

e. A state report format with a sample state report for the annual meeting

f. An H.I.S. Central Chapter patch

g. H.I.S. Central Chapter Nursery Inspectors Guide order form

h. Order forms for COINCIDE: The Orton System of Pest Management by Don Orton, IL and Young Leaf Feeders: A Key to Defoliating Larvae, by John Crouch, IA.

4. Update the H.I.S. Central Chapter Purpose, Benefits and History pamphlet on a regular basis.

5. Serve as the chairperson for the Carl Carlson Award Nominee Committee. Nominees must be non-supervisory field inspectors from the H.I.S. Central Chapter region. Nominations are to be made annually at the H.I.S. Central Chapter meetings. The annual nomination should then be forwarded onto the Central Plant Board Awards and Necrology Committee.

6. To coordinate with the H.I.S. Central Chapter Vice-President (annual meeting host) to organize and distribute meeting registration packets. The meeting notice should include a tentative agenda, hotel, travel information, state report format, and registration form.

7. Serve on the H.I.S. Executive Committee.

8. Immediately following the annual meeting, send copies of Resolutions passed and letters of thanks to appropriate meeting participants as instructed.

9. At the end of the term of office and after the minutes and current business is brought up-to-date, transfer the files over to the new secretary.
